Position Summary:

A full-time year-round Admissions Coordinator is responsible for promoting ESF's camp programs and selling weeks to prospective and alumni families. The Admissions Coordinator sells ESF programs in-person, virtually, and over the phone utilizing various strategic digital (email, social media, website, etc.) and print (brochures, direct mail, signage, etc.) marketing efforts as well as leveraging current and creating new partnerships. The Admissions Coordinator is responsible for selling camp (to alum and new constituents), building positive relationships with customers and families by providing top-notch customer service, and coordinating strategic sales initiatives, partnerships and events.

Position Objective/Purpose:

We are seeking motivated team members who believe deeply in the organization's mission and who display a record of achievement in sales, customer service, grassroots marketing, digital and social media, creative and innovative sales marketing and business development. The Admissions Coordinator must be capable of assessing web analytics, alumni data and new prospect data, and market by market research to better understand customer behavior and to improve camp sales for new and returning families.

Position Scope Factors:

  • Promote and actively sell the following camp programs offered across multiple locations in PA, CT, DE, MD, NJ and NY:
    o Day Camp: Lower Division preschool, pre-k and K; Upper 1st and 2nd grades
    o SportsLab: ages 6 - 14
    o Senior Camp: Squad 1 3rd through 6th grades; Squad 2: 7th through 9th grades
    o Major and Tech Specialty Camps: ages 6 - 14
    o ESF's Pro-Team Sports Camp programs offered in partnership with the Philadelphia Phillies and Philadelphia 76ers: ages 6 - 14
    o Year-round Enrichment programs at Episcopal, Haverford, and Riverdale locations
    o Summer Scholars Program; 6th through 11th grades at Franklin & Marshall College


Essential Job Responsibilities:

  • Lead and implement call campaigns to alumni and prospective parents. Must be comfortable making over 50 calls per day and up to 200 per week during major sales campaigns (seasonal).
  • Make outgoing calls to connect with returning families and new customers.
  • Field phone calls from prospective camp families, respond to their inquiries, promote ESF's programs and facilitate enrollment.
  • Assist the Customer Engagement Team by answering phone calls from enrolled families.
  • Cultivate current and develop new partnerships with area schools, program partners, school districts, corporations, not-for-profits, youth leagues and other organizations in order to build strong sales opportunities and partnerships.
  • Lead promotional campaigns to connect with area feeder schools, leagues, corporations, and other community-based organizations.
  • Collaborate with the Marketing Team and use analytics, market research and competitive comparisons to build upon grassroots outreach.
  • Participate in promotional and customer service events including but not limited to Open
  • Houses, Camp Fairs, Family Orientations and Parent Panels.
  • Coordinate with site partners to create on-campus and online sales opportunities, including mailing lists, signage and promoting ESF Camps at school admissions events and PTO's.
  • Effectively utilize ESF's online enrollment and lead tracking systems.
  • Assist with selected promotional mailings, digital and social media campaigns.
  • Conduct tours of the camp facilities to prospective customers when applicable.

Experience Requirements:

  • Minimum three (3) years of prior experience working in a high-volume sales and customer interfacing role, preferably selling/promoting seasonal or recreational program in person and over the phone.
  • Ability to sell camp effectively using a variety of marketing skills.
  • Solid understanding of web analytics with strong analytical skills.
  • Experience performing local, grassroots marketing efforts.
  • Experience organizing and working promotional events.
  • Strong organizational skills with attention to detail and ability to handle multiple priorities.
  • Ability to complete tasks with critical deadlines.
  • Excellent customer service, problem-solving and decision-making skills.
  • Exceptional verbal and written communication skills as well as telephone etiquette skills.
  • Must be self-motivated with strong closing skills.
  • Proficient in Microsoft Excel, Outlook and Microsoft Word.
  • Previous experience using online enrollment and lead tracking systems.

Education Requirements:

  • Bachelor's degree
  • Formal sales and/or customer service training preferred

Reporting Relationship(s):

  • Reports directly to and takes direction from the Director of Admissions, Sales & Business Development.
  • Collaborates at times with members of Customer Engagement Team, Marketing Team and Site Leaders.

Working Conditions and Physical Requirements:

  • Ability to work on the phone up to 6-8 hours per day at certain times of year.
  • Willingness to travel to ESF's sites and markets, as far south as Maryland and as far north as Connecticut.
  • Frequent in-person interaction with prospective camp parents and other local marketing prospects.
  • Close collaboration with Customer Engagement, Marketing and, at times, Site Leaders.
  • Working occasional weekend and evening events will be required.
